Application settings
Admin › Application settings sets how Aptli behaves for your whole organization. It has two tabs.
Settings
The Settings tab, from the top. Save at the bottom applies every change on the tab at once. Reset to defaults puts every setting back after asking.
- Branding: your organization's name for Aptli and its description, the logos for light and dark themes, the footer on printed pages, and the default time zone.
- Auth settings:
- Maintenance mode: a banner to everyone while you work on the instance;
- the failed sign-ins that pause an account, and for how long;
- whether everyone must use a second factor;
- the roles and admin rights a new person starts with;
- who receives security alerts, and the billing contacts who hear about the licence and seats.
- Identity provider mapping, inside Auth settings: the claim names your sign-on provider sends, and which of its groups give which roles.
- System: how long pickup and transfer codes stay valid by default, how many matches a QR lookup returns, and how many days logs are kept.
- Map settings: the zoom levels where points, lines and areas show by default, and the Icon library every layer draws from: browse, upload, rename and delete icons.
- Catalog settings: whether stock must use a registered asset class, and whether work must use a registered activity.
- Website integration points to the service portal's embeds.
- Quarantined files: files the upload scan held back, to review and delete.
- Photo tags: tags the photos already stored, in the background.
- AI: the assistant's provider and model, chosen from those your instance has, and a lookup that turns a pseudonym in an AI log back into the record it stands for.
- Environment (read-only): the values this instance runs with.
- Licence: your licence's term and the seats in use.
- Danger zone: Request account closure sends a signed, timestamped request to close your organization's account.
Keys and credentials for other systems live in Automations. How long audit events are kept is set on the audit rules in Automations.
My environment
My environment edits the instance itself. Its changes take effect through Apply changes. After you confirm, it restarts the instance and signs everyone out.
- Email provider: the managed service, your own SMTP server, or Microsoft Exchange Online. The tab walks through registering an app in your Microsoft tenant for the last.
- Sender identity: the From name, the From address and a Reply-to address.
- Allowed self-registration domains: the email domains whose people may ask for access on their own. An administrator invites any address.
- Session & token expiry: how long access tokens, refresh tokens, verification links and password reset links last.
- AI usage budgets: tokens per person per hour, tokens per day for portals, the longest reply and the provider timeout.
- Single sign-on: each provider your instance offers, with its client ID, secret and the redirect address to give the provider. SAML single sign-on takes your identity provider's sign-on URL, entity ID and certificate, or reads them from pasted metadata.
- Backups: the archives this instance holds, newest first: full, incremental and snapshot. Request a backup and Request a restore open a ticket with us. Before a restore, we contact you to agree the point in time.
