The Users page listing staff accounts

The list

Filter by email searches the list. Filters holds:

• Suspend: only suspended accounts;
• Account: the account's Status and when it was Created;
• Membership: Any role and Tags;
• deleted accounts.

A row shows the person's name and email, and chips for Locked, Pending invite, SSO-linked and Admin.

A person's window

The name on a card, or the email in a table row, opens the person's window:

• first and last name, email, phone, title, department, division and language;
• when their email and phone were verified;
• Tags, and Qualification expiry: the day a tag stops counting for them;
• Roles: the roles they hold. A role sets which records they can reach. See Roles;
• Admin rights: what they do across the application;
• their notification choices, Login attempts, Active sessions and linked sign-in providers;
• profile photo and properties.

You give a person their roles here.

Adding people

Add records opens Add user: one person at a time, or an import of many from a spreadsheet.

A person who has not confirmed their email shows Confirm & Send Invite where Save would be. It saves the person and emails them a link to choose a password. Save, in the person's ⋯, saves without sending. A person's row ⋯ holds Send invite, or Resend invite once one has gone.

Invite announcement, in ⋯ More, drafts a message about Aptli to copy or open in your email.

Access requests

People who used Trouble signing in? without an account wait in ⋯ More › Requests, with how many are pending. Approve creates the account, uses a seat and sends the invitation. Decline drops the request. Tick several to Approve selected or Decline selected.

Changing many people at once

Tick people, then open Actions on selected to:

• set a title, department, division or property on all of them;
• Suspend selected or Unsuspend selected: suspending an account stops its sign-in. Your own account stays out of a suspension;
• Logout selected: end every session they have open;
• print, delete or restore them.

Each one asks you to confirm.

Security check and guest links

⋯ More › Security check reviews how the instance is set up and lists what to look at: accounts with rights and no verified email, admin accounts dormant for months, roles that read as external with no restrictions, guest links that outlived their work, unused API keys and published portals. Re-run checks again.

⋯ More › Guest links lists every live link a guest holds to finish a report, with its work order and when it was last used. Revoke stops a link working.

Seats and counts

Staff count against your licence seats. A banner shows the seats in use as you near the limit. The count row in ⋯ More counts locked, pending, admin, SSO-linked and phone-registered people and Licenses consumed, and exports the list.
