Lists and records
Every page that lists records works the same way, and every record opens in the same kind of window. This page covers what they share. Each area's own guide covers only what it adds.
The list toolbar
The row above a list holds two groups.
On the left:
- Cards and Table switch how the list draws.
- The filters. The first half is the page's quick cut, such as a search box or Yours to act on · All. The chevron beside it opens Filters, a panel with every other filter. Changes in the panel take effect when you press Apply filters, and Reset puts the page's defaults back. Each applied filter shows as a chip beside the toolbar. A chip's × removes that filter, and Clear all removes every one.
- Sort by, in card view.
On the right:
- Undo and Redo, while there is a change on this page to step through.
- ⋯ More: the page's counts, its windows, import and export.
- Actions on selected, while the page lets you act on many records.
- The create button. Its face says what a click makes. The arrow beside it offers the other things the page creates.
Tables and cards
In table view, the column titles sort: the first click sorts one way, the second the other, and the third stops sorting. Table actions, the settings button at the left of the header, holds Columns, Expand all and Collapse all.
A row's checkbox, its ⋯ and the chevron that opens its children sit together at the right of the row. A card carries the same controls. On pages that hold records in levels, drag a record's name onto another row to move it there.
Keep at the top, the star on a row, holds that row first in its level. Each person keeps their own.
Selecting many records
Tick rows, then open Actions on selected. Its first button reads, for example, "Open 3 of 24 records", and opens them together where the page allows it. The arrow beside it holds Print, Select all and Clear selection. With nothing ticked, the button selects every record on the list. Below it sit the changes that act on every selected record: changing a field on all of them, deleting, restoring and what else the page offers. An action that cannot run on the selection says why.
Record windows
A record opens in a window over the page. Several can be open at once. Drag a window by its title to move it, and drag its edge to resize it. The title bar holds Maximize, Open in a new browser window and close.
Records that belong together open in one window: the tree on the left, the selected record on the right. Drag the divider between them to share the width. In a narrow window the tree folds to a rail.
The tree
The tree opens at the highest record you can see, with the path to your record open and your record selected.
Under a record, the tree hangs what it carries:
- the forms filled in on it;
- one row per section its area adds, such as a work order's materials or an asset's service history. A section row shows once there is something in it, with a count;
- Linked: the records linked to it from other areas.
A row's ⋯ adds records under it, new or existing, and holds Remove from its parent and the deletes.
The form
The right-hand side shows one record. Its header holds the record's name, an amber dot while it has unsaved changes, Share, ⋯ and Save.
- Share copies the record's link, emails it or shows a QR code. The link opens the same record for anyone allowed to see it.
- ⋯ holds the record's actions in groups: Add (new records under it, a form, Request…), Actions (such as Ask for help, Print or Copy as image) and Open in (the pages that show it).
- Save writes the record. It turns blue while there are changes to save and green once they are saved. A save that fails says why on the button.
Under the header, a line shows who created and last changed the record, and when. Also editing right now names anyone else with the record open. A record you can read but not change says so, and its Save is gone.
The fields come first, then the wide parts: description, attachments, comments and properties, and the location last.
The assistant fills in the form for you when you ask it to. Check what it wrote, then Save.
Moving away with unsaved changes
A record with unsaved changes holds you there. Pressing another row says Save this record first. Closing the window, pressing Esc or going back asks Leave this page? before your changes go.
Undo and Redo
Undo steps back through the changes you made on this page, one action at a time, and Redo steps forward. Ctrl+Z and Ctrl+Shift+Z, or ⌘Z and ⌘⇧Z on a Mac, do the same. Each page keeps its own steps, on this device.
When someone else changed a field since, Undo asks whether to undo the rest. Undoing a step that added a file deletes the file, and Undo asks first.
Requests between areas
⋯ › Request… on a saved record asks another area for something: stock, work, a charge or a permit. See Requests.
