Automations
Admin › Automations holds every link between Aptli and your other systems, and every rule that acts by itself when something happens. It opens to people who hold the rulesManage right.
Categories
The page is a tree in three levels.
- Category: one area of Aptli, such as Map, Assets & inventory, Work management, Charges, Permits, Service portal, Website / CMS or Forms. The rest of the application sits in System categories: People & sign-in, Communications, Reminders & timers, Cleanup, Help requests, Contacts, Files & storage, Security, Audit, Versions and AI.
- Connection: one link to an outside system, in or out. It sits under the category it serves. The same system can have a connection in two categories, each with its own rules.
- Rule: what happens when something happens. A rule that uses a connection sits under it. Any other rule sits under the category it starts from. A rule that issues a charge when an asset fails sits under Assets & inventory.
Every category is always present. A category's ⋯ is where you add to it:
- New connection here lists the kinds of connection that category takes. See Connections.
- New rule here offers that category's recipes and triggers. See Rules.
Included rules
Aptli comes with rules for what it does by itself: sending a work order to its assignees, telling a submitter their request changed status, reminding a payer about an overdue charge, alerting when an asset's service falls due. They show in their categories marked Included, and they start switched on.
You turn an included rule on or off, and for a notification its window sets Who receives this. A rule marked Always on runs on every instance and stays on.
What a row shows
- Does: what the connection or rule does, in a sentence.
- Status: On or Off. Press it to switch.
- Health: the worst problem on the row: runs that failed in the last 24 hours, open alarms, or a push connection with no key. An outlined chip means the problem sits in a row below. Press it for what fixes it, such as Show activity.
- Last 24 hours: how many runs, and how many failed.
A row's ⋯
- A connection's ⋯ holds Edit, View details, History, Send a test, New pairing code for a website, New rule here, Turn on or Turn off, and Delete.
- A rule's ⋯ holds Edit, History, Changes, Turn on or Turn off, Clone and Delete.
The count menu
The count at the top of the page counts Connections, Rules on, Rules off, Included rules and Rows with a problem. It opens:
- Activity: every run and delivery. See Activity and keys.
- Keys and credentials: the keys other systems use to reach Aptli, and the credentials Aptli uses to reach them.
- Inbound sources: every source Aptli reads from.
The allowance
Your plan includes a number of units. Each connection and each rule you write takes one. Included rules take none. The count menu shows how many are in use. At the limit, adding a connection or a rule says so. Delete one you no longer use, or contact support to add units.
Finding rows
Search connections and rules finds a row by name. Filters narrows by Status, Health (Only problems), Direction (Coming in or Going out) and deleted rows.
Tick rules to turn them on or off together, or to delete and restore them.
Table actions holds Columns, Expand all and Collapse all.
